It seems to me that we really need to get communication between mentors bootstarted. Can we start meeting virtually? A handful of us already hang out fairly regularly on #squeak (and some other channels) on irc.freenode.net. If some people can't use IRC perhaps we can use Skype or some other technology. Due to timezone issues I suspect just one meeting time won't cut it, so perhaps we should have several at different times of the day. Is anyone else interested? Should I just pick out some times and dates and announce it? In the interest of expediency I believe I'll just go ahead and announce 3 times slots for this week and depending on how it goes we can talk about what to do in the future.
The interest in these particular meetings of course is to discuss and support student applications prior to the deadline so the students have some opportunity to adjust their application if and as needed.

A quick report on today's meeting:
I think it went quite well, there was better attendance than I expected. Attendees included: Ken Causey, Matthew Fulmer, Klaus Witzel, Stephane Ducasse, Matthieu Suen, Esteban Lorenzo, Janko Mivsek, Brian Rice, and Lukas Renggli.
If anyone wants I can provide a log of the entire discussion but to quickly summarize:
We started out with open questions:
Klaus asked about students applying multiple times and about mentors mentoring multiple projects. We said that applying multiple times is fine but in the end a student can only receive one slot. We were unsure about mentoring but assumed at the very least a mentor can be the primary mentor on one project and a secondary mentor on another project. If anyone can clarify this I would appreciate it.
Klaus also asked about policy regarding students who don't reply to queries. We decided that we would be as lenient as possible but obviously once it came time to vote that this would be a significant issue in voting.
Stephane pointed out that it's not unusual for a student to apply to more than one project and that ideally we should find out where that is the case as soon as possible and be prepared to deal with it.
Stephane also pointed out that ESUG will be sponsoring at least 4 students in its SummerTalk project and suggested that students who are rejected should also apply there.
At that point we decided to go through the applications one-by-one and open up discussion. I won't go over the details but I think a lot was accomplished with that and to my surprise we got through all of the applications with time to spare.
I asked about the application entitled 'Coding' by Suprita Kocchar and whether that one should be marked ineligible since there is no project specified and it is a purely generic application. Matthew checked and this does not appear to be one of the application spammers. We left this issue open and any comments would be appreciated.
Klaus asked Brian Rice if he would consider co-mentoring a new compiler project and Brian said he would be willing to consider it.
Two students came by: Cedrick Beler and Francois Stephany. Cedrick asked about scheduling issues and was a little concerned about whether he would have the time to do his project. I believe he is intending to contact Giovanni for clarification.

You're correct when you say that a student can only receive one slot. As for the mentors, there is no such limitation, provided they can give each student under them all the mentoring they need. In practice, it would be better for each student to have a separate main mentor (the one that will be responsible for "grading" him) and one or more backup/secondary mentors.

That's 100% correct. If someone doesn't bother to reply to the mentors' comments, why should we bother?

Attendance was a little low but we did have two new participants: Adrian Kuhn and Giovanni Corriga. Thanks Adrian and Giovanni! Also in attendance were Klaus Witzel, Matthew Fulmer, Janko Mivsek, and Ken Causey.
Giovanni explained the voting procedure, to summarize:
Once the student application deadline ends a drop-down should appear on the application with -4, -2, -1, 0, +1, +2, +4 choices. The specific votes should not be visible to students. Voting is split up into two periods, the first will be from April 7th (8th maybe) until the 15th. The second will start on the 15th and end on the 17th or 18th and is meant to take into consideration students who have been accepted into other projects, the number of slots Google has assigned us, etc.
Giovanni pointed out that any mentors interested in attend the Mentors Summit hosted by Google in the fall should start saving for expenses. Google will pay for a small number of mentors but not for all, and we have to pay initially to be reimbursed by Google later.
Adrian Kuhn said he would be meeting with his student on Monday to improve the SpyVM application.
Matthew Fulmer provided a link to his application from last year's GSOC which was accepted but which he was ultimately forced to cancel.

Giovanni pointed out that any mentors interested in attend the Mentors Summit hosted by Google in the fall should start saving for expenses. Google will pay for a small number of mentors but not for all, and we have to pay initially to be reimbursed by Google later.
Adrian Kuhn said he would be meeting with his student on Monday to improve the SpyVM application.
Matthew Fulmer provided a link to his application from last year's GSOC which was accepted but which he was ultimately forced to cancel.

Giovanni pointed out that we should include at least one student who is a newcomer to Squeak, of course only if the application is also good.
We didn't bother to go over all of the applications again.
The next meeting is on Monday during the last two hours of the application period 22:00 to 0:00 on Monday April 7th. If you haven't made it to either of the other meetings this is the last chance before student applications have to be finished and voting starts.
I would appreciate any comments on scheduling future meetings. I scheduled 3 of them rather close together right now to try to accomodate everyone before the deadline. I suspect we should have at least a meeting during the first voting period and almost certainly one during the second. Any thoughts you have on that would be appreciated.

Attendance was pretty good with two new attendees: Aik-Siong Koh and Toon Verwaes. Also in attendance were Giovanni Corriga, Janko Mivsek, Adrian Kuhn, Esteban Lorenzano, Klaus Witzel, and Mathieu Suen.
There was a little discussion of how co-mentoring would work. Google only allows us to specify a primary mentor, beyond that it is up to each project to manage backup mentors to it's own satisfaction.
We then went through a handful of applications received in the last 24-48 hours.
Mathieu asked about students updating applications and Giovanni pointed out that after the application deadline only comments can be added.
There was then considerable discussion about whether PhD students should be given the same support as undergraduate (and perhaps Master) students. Some were of the opinion that PhD students tended to have other funding sources and so were less in need of this source of funding. For now it was decided that each mentor is free to vote with this in mind and make their own decision. Further discussion on this topic is possible, even likely.
At the moment there are no other meetings scheduled. I suspect it would be a good idea to have at least one meeting prior to the end of the first round of voting on the 15th and another during the second round of voting. If anyone has any preferences on the scheduling of these meetings please voice them.
I have text logs of all three meetings so far, if anyone would like a copy, please let me know.

In the interest of expediency I believe I'll just go ahead and announce 3 times slots for this week and depending on how it goes we can talk about what to do in the future.
The interest in these particular meetings of course is to discuss and support student applications prior to the deadline so the students have some opportunity to adjust their application if and as needed.
I'm going to make these two hour meetings but that does not mean you shouldn't come if you can't be there for the entire 2 hours, the point of what I'm doing is to be as accomodating as reasonably possible.
Matthew Fulmer and I are both on #squeak fairly regularly and are fairly active in supporting students there. So one of my intentions is to schedule these so that one if not both of us can attend each meeting in its entirety.
Again, to be accomodating I and Matthew will be on both IRC (#squeak on irc.freenode.net, my nickname is kencausey and Matthew's is matthewf) and Skype (my Skype username is kencausey and Matthew's is matthew.fulmer). That's not because I want to have two seperate streams of conversation, but I want to avoid excluding anyone. Please use the IRC channel if at all possible and only use Skype if you can't access IRC. If you have to use Skype just text me, don't try to actually initiate a voice call. Then I can invite you to a group chat or whatever. Of course if I don't respond, be sure to try Matthew.

A handful of us already hang out fairly regularly on #squeak (and some other channels) on irc.freenode.net. If some people can't use IRC perhaps we can use Skype or some other technology.
#squeak is just fine.
Due to timezone issues I suspect just one meeting time won't cut it, so perhaps we should have several at different times of the day. Is anyone else interested? Should I just pick out some times and dates and announce it?
